Work Apps on Your Phone While Traveling: Pre-Trip Setup

Set up your phone the night before you fly so work email, your task tracker and cloud docs open on a business trip just like at the office.

Work apps on your phone usually fail on a trip for one of three reasons. The login code arrives by SMS and you have no roaming. The service notices a new sign-in location and demands confirmation. Or the hotel network keeps you stuck on a login page. You can fix all three the evening before your flight, and none of it takes admin skills.

How do I get login codes without relying on SMS?

SMS is the weakest link on the road. Your carrier may not deliver the message, and on many plans receiving texts while roaming costs extra. An authenticator app (Google Authenticator, Microsoft Authenticator, or Aegis on Android) generates a six-digit code every 30 seconds and works with no signal at all.

  • Switch to authenticator-based sign-in for your email, messengers, cloud storage and work systems.
  • Download your backup codes. Google, for example, gives you 10 single-use codes. Print them or save them in a password manager on a different device, not only on your phone.
  • Turn on automatic date, time and time zone. Each code is tied to a 30-second window, and if your phone's clock drifts by a minute, the service will reject it. This happens more often than you'd expect after crossing time zones.

For the full walkthrough, see our article on two-factor authentication: how to turn it on without locking yourself out.

How do I test sign-in from a different network?

Turn off your home Wi-Fi, switch to mobile data and open each work app in turn. Any service that asks for re-verification is better discovered at home, where your old phone and your email are within reach.

Corporate systems often lock an account after a sign-in from a new region. Message your administrator in advance with your travel dates and a note that you'll be working from your phone. One short message can save you a day of back-and-forth with support once you've arrived.

Do I need a secure connection and split routing?

Your work email and documents will travel over hotel, airport and café networks. Anyone on the same network can set up a hotspot with a similar name, so open Wi-Fi shouldn't be trusted with work data. More on that in our piece on staying safe on public Wi-Fi.

A secure connection encrypts traffic between your phone and the server. The most convenient setup uses split routing: work and international services go through the tunnel, while banking apps and local sites connect directly. Your bank sees your usual address, so you don't get extra confirmation prompts.

If you'd like step-by-step instructions for each system, see how to set up a secure connection on all your devices.

On pricing: Standard costs 349 ₽ for one month, 899 ₽ for three months and 3349 ₽ for a year. The "from 279 ₽/month" figure (with annual payment) is the calculated price of the yearly package; paying month by month costs more. The current price list is on the pricing page.

What should I save for offline use?

There's no signal on a plane or in the subway, and that's exactly where you'll need the document. Download the spreadsheets and presentations you'll need over the next few days for offline use, take screenshots of bookings and addresses, and enable offline access in your email app. Check your cloud storage too: if it's full, syncing quietly stops.

What should I avoid once I'm there?

  • Don't sign in to work accounts on shared computers in business centers or coworking spaces. Your credentials can stay behind in the browser.
  • Ask the front desk for the hotel network's exact name instead of picking one from the list.
  • Update your system and apps before you fly, since updates are what close security holes.
  • Revoke unnecessary location permissions. Most work apps don't need your exact position, and we explain how here.
  • For payment habits on the road, see how to pay by card online safely while traveling.

What's the plan for the evening before departure?

What to doTime
Authenticator and backup codes15 minutes
Test sign-in from mobile data10 minutes
Message to your administrator2 minutes
Secure connection: set up and check10 minutes
Files and tickets offline15 minutes
System and app updates10 minutes

That's a little over an hour in total. If you're short on time, do the first three rows: without them you can't get into your accounts far from home, while the rest can be set up once you've arrived.
